Our Missed Session Policy
At Qualia we value your time, your child’s time and our therapists’ time. We understand that something may come up that prevents your child from attending an appointment. In these instances we request you provide us with at least 24 hours’ notice (by phone to 9555 9776 or email to email@example.com).
If you are unable to provide 24 hours’ notice, you will be charged a $40 cancellation fee. Please note: if a child is unable to make their therapy session at school, pre-school or day care, it is the parent or carer’s responsibility, not the school or educator’s responsibility, to inform Qualia.
If your child is sick, we ask that you please keep them at home to avoid infections spreading to our therapists and other children visiting the clinic.
Our Session Cancellation Policy
As there are a number of children currently requiring occupational therapy, Qualia is unable to save spots for children who do not attend two or more sequential sessions without providing a valid reason for the cancellations. We ask families to please advise us in advance if their child will miss more than two sessions so we can work out the best plan for your therapy plan moving forward.

Questions and Answers
My child is seen at school. If there is an in-school event such as an incursion, do I need to let Qualia know?
Yes. While therapists at Qualia will do our best to follow a school’s timetable and schedule, we may not always be aware of your child’s school commitments. It is essential that you let Qualia know on 9555 9776 or firstname.lastname@example.org with at least 24 hours’ notice.
My child is booked in for 10 sessions in term 4. If I am away on a holiday in week 3, and let you know, will I be charged that week?
No. As you have given the 24 hours noticed, you will not be charged for the session while you are away on holidays.
If my child is sick when they wake up and they are unable to attend a session that day, will I have to pay for the session?
While we understand children can get sick, unfortunately if we do not have 24 hours notice, you will be charged a cancellation fee unless we are able to reschedule your session to later that week. Rescheduling will be dependent on therapist availability but we will do our best to find a new time where possible.
What happens if my child’s therapist is sick?
On the rare occasion that your child’s therapist is unable to provide your child with their therapy session, we will give you as much notice as we can. You will not be charged for this session, and we will do our absolute best to offer you a make up session so your child does not miss out.
